Duties & Responsibilities:

The ASCPL is hiring an Executive Assistant to support ASCPL’s Executive Director (ED) to support our Mission Statement to provide resources for learning and leisure, information services, meeting spaces, and programs for all ages that support, improve, and enrich individual, family, and community life.  The Executive Assistant composes and types miscellaneous documents; organizes, manages, and maintains the Library’s official records and administrative files according to Ohio’s and the Library’s records retention rules; assists the ED in preparing for monthly Board meetings, Board committee meetings, and all special Board meetings, including preparing, assembling, and distributing agendas, preliminary reports, and meeting packets and contacting Board members to schedule Board committee meetings and to confirm their attendance; sets up for and cleans up after meetings, including obtaining and preparing refreshments; attends meetings of the Board, records and takes minutes at meetings, and composes meeting minutes; facilitates access to the ED and answers the telephone; maintains logs of Board policies and resolutions; maintains lists of Board members, Board committees, and Board orientation materials; attends Administrative Team meetings and takes, prepares, and distributes minutes; schedules and coordinates meetings and appointments; responds to inquiries from customers, employees, and vendors; retrieves and processes departmental mail; provides back-up support to other Administration agencies; assists in preparing responses to public records requests; orders and maintains office supplies; and performs other duties as assigned.

Required Knowledge, Skills & Abilities:

Required:  Bachelor’s degree.  5 or more years of relevant experience.  Possession of at least three Microsoft Office Specialist certifications or ability to attain them within first three years of employment.  Knowledge of standard administrative office procedures, particularly in a public sector organization.  Skill in customer service.  Skill in record maintenance, including public records maintenance.  Skill in data entry.  Skill in administrative writing, composition, and proofreading.  Ability to manage time effectively and to plan, organize, and complete all areas of a task or project with accurate results.  Ability to maintain confidential information.  Ability to work both independently and collaboratively to plan and complete projects and assignments with multiple deadlines while maintaining attention to detail and accuracy.  Ability to use a personal computer and job-related software or systems applicable to the essential functions of the job.  A valid driver's license, automobile insurance, and reliable personal transportation.  Ability to pass criminal background and education verification checks.

Preferred:  Possession or attainment of Microsoft Office Specialist Expert or higher certifications in Excel and Word.  Public sector administrative or executive support experience.
