The ASCPL has created a new Facilities Services Specialist position to support our Mission Statement to provide resources for learning and leisure, information services, meeting spaces, and programs for all ages that support, improve, and enrich individual, family, and community life.

The Facilities Services Specialist position serves as the Facilities Services department’s communication hub and coordinates work with and for internal and external customers. This position will support the implementation of a new work order system, and then it will “own” it by reviewing all work requests, assigning tasks, and creating, managing, and closing out work tickets assigned to the position and others inside and outside the ASCPL to coordinate work at all 19 Branch and Main Library locations. The position further communicates with internal customers about maintenance and operational issues via phone and email, and it dispatches technicians and contractors to perform emergent repairs as requested by internal customers. The role also schedules services, notifies staff regarding services scheduled, and helps staff when they experience issues or have special requests.
To make sure our vendors are completing the work expected, the position manages service contract partners by ensuring that technicians and contractors are performing prescribed proactive maintenance, adhering to maintenance plans and safety protocols, and ensuring all maintenance activities are completed effectively and on time in accordance with contracts.
The position also performs some administrative duties, including serving as the front desk receptionist for the Facilities Services office, ordering supplies and uniforms, preparing miscellaneous correspondence and meeting minutes, managing spreadsheets, distributing mail, filing and recordkeeping, collecting timesheets, and answering telephones.
Required: Completion of two years of college. Previous customer service experience. Previous administrative assistant experience. Demonstrated ability to use software packages such as MS Office applications, including Word, Excel, PowerPoint, and Outlook, proficiently. Strong attention to detail, including the ability to work with a high level of accuracy. Knowledge of standard office procedures. Strong organizational skills, including the ability to prioritize work effectively and to manage and follow through with multiple projects/tasks simultaneously in an efficient and steady manner. Ability to work with and maintain confidential information. Excellent verbal and written communication skills, including demonstrated proof-reading ability. Excellent customer service skills, including pleasant personality, professionalism, and diplomacy. Ability to bend, stoop, stand, reach, and lift with or without reasonable accommodation.
Preferred: Possession of a bachelor’s degree.
